Terms of service
Version 0.10 · 24 September 2026
A draft, not an agreement.
This document has not been through a lawyer and is not in force. It is published so you can see the substance of what EntryWick intends to commit to, and so that nothing links to a page that does not exist. Anything in square brackets is waiting on a decision.
These terms are between [OWNER: legal entity name and registered address] ("EntryWick", "we") and the
organization that opens an account ("you"). They cover the hosted product at entrywick.com and every address under it.
A self-hosted install is covered by its licence instead (see §11).
1. What you get
An account gives your organization its own address, its own data, and the features of the plan you are on. Plans and what each includes are on the pricing page; what a plan changes about a feature is enforced by the product rather than by this document.
We will:
- keep the product available, and publish what we know about that at status.entrywick.com;
- keep your data yours (§4) and let you take it out at any time (§6);
- tell you before we make a change that removes something you are using.
2. What you agree to
- One organization per account. Your account is for your organization's own events. Reselling access, or running events for unrelated organizations out of one account, needs a written arrangement with us.
- Your people are your responsibility. You decide who on your team has which role, and you keep their access current. Anything done with a valid sign-in of yours counts as done by you.
- The law where your event happens. You are responsible for having the right to collect the information you ask registrants for, for telling them what you do with it, and for anything your event needs by way of consent, medical handling or safeguarding. EntryWick gives you the tools; it does not make those decisions for you.
- No attempt to break it. No probing, scraping, load-testing or circumventing the limits of your plan without asking us first. Reporting a security problem you find is welcome and will never be treated as a breach of this clause.
3. Money
- Plans are billed yearly in advance. Ticket fees are taken per paid ticket, as the pricing page sets out.
- Cards are Stripe's. Payment details are entered on Stripe's own page and never reach EntryWick's servers.
- Refunds to your registrants are yours to decide and are made from your own payouts. Where we have taken a ticket fee on a refunded ticket, that fee is refunded to you too.
- Prices change with notice. A price change never applies to a year you have already paid for.
- Unpaid invoices. If an invoice goes unpaid we will tell you, and keep telling you, before anything stops. When a suspension does come, check-in keeps working — nobody is left standing at a gate over an invoice — and what stops is new events, new registrations and outbound messages. Your data is not deleted (§6).
4. Your data
You own what you put in. Registrations, attendees, tickets, check-ins, your templates and your branding are yours. We hold them to run the product for you, and for nothing else:
- we do not sell your data, and we do not use it to advertise to anybody;
- we do not use your attendees' details to market EntryWick to them;
- we do not read your event's content except where you ask us to help with something specific, or where we must to fix a fault or meet a legal obligation.
How we handle personal data is the privacy policy; the processor terms are the data processing agreement, and the third parties involved are the sub-processor list.
5. What we do not promise
The product is provided as it is. We do not promise that it will be uninterrupted, that every feature will suit your event, or that a third party we depend on will never fail. Where the law allows it, our liability for any claim is limited to what you paid us in the twelve months before it — and nothing in these terms limits liability for death, personal injury, fraud, or anything else that cannot be limited by law.
Two things we will not hide behind that limit: we will tell you about a security incident that affects your data (§5 of the DPA sets the timing), and we will not lose your data quietly — backups and what they promise are in §6.
6. Ending it
- You can leave whenever you like. Cancel in Billing. Your account runs to the end of the year you have paid for.
- Take your data with you. Settings → Your data downloads everything — every table and every file — as one archive, every list in the product exports, and the API reads everything. Do it before you close the account.
- Deleting it. Your Owner can schedule the account's deletion from Settings → Your data. Nothing is deleted for 30 days, and the deletion can be cancelled in that time; then everything is deleted and cannot be brought back. Backups roll off within a further 30 days. The privacy policy lists the little that is kept, and why.
- We can end it too, with notice, and with a refund of the unused part of your year — except where an account is being used for something illegal, or to attack the product or another organization on it, in which case we may stop it at once and tell you why.
7. Changes to these terms
We will publish a new version here with a new version number and date, and tell you before a change that takes something away or adds an obligation. Carrying on using the product after a change means accepting it. Every version we have published stays available.
8. Support
What support covers, how to reach it and what makes a reply fast are on the support page. Nothing in these terms promises a response time; where a plan does, the plan's own description says so.
9. Publicity
We will not use your name or logo as a customer reference without asking you first, each time.
10. Law and disputes
These terms are governed by the law of [OWNER: jurisdiction], and the courts there have exclusive jurisdiction. We will both try to sort out a dispute by talking, in writing, before anybody files anything.
11. Self-hosted installs
An install you run on your own server is covered by the licence issued with its key, not by these terms. What a licence state stops — and what it never stops — is documented at docs.entrywick.com. We hold no personal data from a self-hosted install: it reports counts and versions to us and nothing else.
Questions about any of this go to [OWNER: the address legal questions should reach].
